Prepare PDFs for a job application
Follow the employer’s instructions first. Some applications require separate files; others permit one combined PDF. Do not assume any portal’s size limit or required document order—read the specific listing or upload form.
Choose only requested documents
A common bundle may include a resume, cover letter and relevant certificates, but only include identification or other personal records when the employer specifically asks for them and the request is legitimate. Keep unrelated sensitive documents out of a general application file.
Set a readable order
- Use the order requested in the application.
- If no order is given, a clear default is cover letter, resume, then relevant supporting documents.
- Put multi-page certificates and documents in their natural page order; rotate sideways scans before combining.
- Name the final file descriptively, for example
Firstname-Lastname-Application.pdf, avoiding confidential details in the filename.
Keep the file practical
Scan at a readable resolution in good light, crop empty margins and avoid repeated JPEG-to-PDF conversions. If the upload form gives a maximum size, check the final PDF against that limit. Compression can reduce size but may make small text, stamps or signatures difficult to read.
Mobile workflow
On a phone, collect the source PDFs in one folder, open each once to ensure it is the correct file, then select them in order. Keep the browser open while it creates the output. Download the merged file and inspect the first, middle and final pages before upload.
Final submission checklist
- The file opens and pages appear in the intended order.
- Text, dates, contact details and scans are readable at normal zoom.
- No blank pages, duplicate pages, unwanted notes or hidden personal documents are included.
- The filename is clear and the final size meets the receiving form’s published limit.
- You still have untouched copies of the originals.
